Privacy Policy

We take your privacy seriously. Here's the straight talk on how we handle your info.

Last Updated October 31, 2025

Look, we're not here to bury you in legal jargon. Running a high-performance training facility means we collect some info about you - that's just how it works when you're serious about tracking progress and keeping things running smooth.

This policy explains what we grab, why we need it, and what we do with it. We've been doing this for years, and we've learned that transparency builds trust. So here's everything laid out plain and simple.

By using our services, training at our facility, or even just browsing our website, you're agreeing to what's outlined here. If something doesn't sit right with you, hit us up at info@obsidrixeternal.info and let's talk.

Personal Identification Info

When you sign up or book sessions with us, we're gonna need the basics - your name, email, phone number, address, birthdate, and emergency contact details. Can't really run a proper gym without knowing who's who and how to reach you if something goes down.

Health & Fitness Data

Here's where it gets specific to what we do. We track your fitness assessments, workout performance, body composition measurements, injury history, and any medical conditions that might affect your training. This isn't us being nosy - it's about keeping you safe and making sure you're progressing the right way.

Payment Information

We process membership fees and session payments, so yeah, we need your billing info. Credit card details, transaction history - all that stuff. We use secure third-party processors though, so we're not just sitting on your full card numbers.

Usage & Technical Data

When you check in, use our app, or browse the website, we collect stuff like IP addresses, device info, browser type, and how you're interacting with our digital platforms. Helps us figure out what's working and what needs fixing.

We're not collecting data just to have it. Everything we grab serves a purpose:

  • Training Programs: Your fitness data helps us design programs that actually work for YOU. We've seen too many people waste time on cookie-cutter routines that don't match their goals or limitations.
  • Safety First: Health info keeps us aware of what could go wrong. If you've got a bad shoulder, we need to know before loading up that barbell.
  • Communication: We'll reach out about class schedules, membership renewals, facility updates, and occasionally some training tips we think you'll actually find useful.
  • Facility Management: Check-in data helps us manage capacity, schedule maintenance during slower times, and figure out which equipment needs upgrading.
  • Payment Processing: Pretty straightforward - gotta process your payments and keep records for accounting purposes.
  • Legal Compliance: Sometimes the law requires us to keep certain records. We're not thrilled about extra paperwork either, but that's just how it is.

Bottom line - if it doesn't help us provide better service or keep the place running, we don't bother with it.

We're not selling your info to random companies or flooding your inbox with spam. Here's who actually gets access:

Service Providers

Payment processors, email platforms, scheduling software - the tools we use to keep things running need some of your data to function. They're bound by their own privacy policies and contracts with us.

Professional Partners

Sometimes we work with nutritionists, physiotherapists, or sports medicine docs. If we refer you to them or they're part of your training plan, we might share relevant health info - but only with your explicit okay.

Legal Requirements

If the law says we gotta hand something over - court orders, subpoenas, that kind of thing - we'll comply. We're not looking to fight the legal system over data requests.

Emergency Situations

If there's a medical emergency, we're sharing whatever info first responders need to help you. Your emergency contact gets called too. This is common sense stuff that could save your life.

Security's not something we take lightly. We've invested in proper protection because data breaches are a nightmare for everyone involved.

  • Encryption: Your data's encrypted both when it's moving around and when it's sitting in our systems. Industry-standard stuff.
  • Access Controls: Not everyone on staff can see everything. People get access to only what they need for their job. Front desk doesn't need your full medical history.
  • Secure Facilities: Physical records are locked up. Our servers are in secure data centers, not just sitting in some back office.
  • Regular Updates: We keep our systems patched and updated. Outdated software is asking for trouble.
  • Staff Training: Everyone who handles member data gets trained on privacy and security. They know what's at stake.

That said, no system's 100% bulletproof. We do our best, but if something happens, we'll let you know and deal with it head-on.

Yeah, our website uses cookies. Not the chocolate chip kind - the digital tracking kind. Here's what they do:

Essential Cookies

These make the site actually work - keeping you logged in, remembering your preferences, basic functionality stuff. Can't really turn these off without breaking things.

Analytics Cookies

We track how people use the site so we can make it better. Which pages get visited most, where people are getting stuck, that kind of thing. It's anonymous data though - we're not tracking individual browsing habits.

Marketing Cookies

Sometimes we run ads or retargeting campaigns. These cookies help us show relevant stuff to people who've checked us out before. You can opt out of these through your browser settings if it bugs you.

Most browsers let you control cookie settings. Just know that blocking certain cookies might make parts of the site not work right.

Under Canadian privacy law (PIPEDA specifically), you've got some rights when it comes to your personal info:

  • Access: You can ask to see what data we've got on you. We'll pull it together and show you what's there.
  • Correction: If something's wrong or outdated, let us know and we'll fix it. Wrong phone number? Outdated address? Easy to update.
  • Deletion: Want us to delete your data? We can do that, with some exceptions - like if we're legally required to keep certain records or you've got an outstanding balance.
  • Opt-Out: Don't want marketing emails? Unsubscribe. Don't want us sharing data with partners? Tell us and we'll note it.
  • Data Portability: Need your data in a usable format to take elsewhere? We can export it for you.
  • Withdrawal of Consent: You can change your mind about what we can do with your data. Just know it might affect what services we can provide.

To exercise any of these rights, shoot us an email at info@obsidrixeternal.info or call us at (604) 555-8729. We'll get back to you within 30 days.

We train people of all ages, including youth athletes. For anyone under 18, we need parental or guardian consent before collecting any personal info.

If you're a parent and your kid's training with us, you've got full access to see what data we're keeping and can request changes or deletion anytime. We're not gonna share youth member info with anyone except you and relevant coaches without your explicit permission.

Found out we've got info on someone under 18 without proper consent? Let us know immediately and we'll delete it. That's not cool and we'll fix it fast.

Look, things change. Laws get updated, we add new services, technology evolves. When we need to update this policy, we'll post the new version here and update that "Last Updated" date you can see on this page.

For major changes - stuff that significantly affects how we handle your data - we'll send out an email notification. Minor tweaks and clarifications, we'll just update the page.

It's worth checking back here every now and then. We're not trying to pull a fast one, but you should know what's current.

Got questions, concerns, or requests about your privacy and data? Don't sit on it - reach out. We'd rather answer questions up front than deal with misunderstandings later.

Privacy Commissioner of Canada: If you're not satisfied with how we handle your privacy concerns, you've got the right to file a complaint with the Office of the Privacy Commissioner of Canada. We'd prefer to work it out directly, but that option's there if needed.

Real Talk About Privacy

We built this facility on trust and results. Can't have one without the other. Your data helps us deliver better training, but it's YOUR data. We're just stewards of it.

Questions? Concerns? Don't hesitate. We're here Monday through Saturday, 5 AM to 10 PM, and we actually answer our phones.
